REPLACEMENT GROUND RULES
Standardized Replacement Ground Rule Information
(Rodeos can opt out if they so desire)
30 Hour Replacements (Standardized Alternate Replacement)
If 30 hours preceding the event falls outside of office hours, then this replacement ground rule will be in effect until the end of last workday proceeding the 30 hour window. After the end of the 30-hour window, replacements will move to a walk-up replacements list.
- Available to all Special events and rodeos with $9,000 and higher added prize money with contestants that were drawn out as a result of using the ‘or out’ parameter, due to qualifications, or permit maximum, (or entered a full event during re-entries)
- A doctor release, visible release, vet release, draw out, or a notified turnout can be replaced using original qualifications by a contestants that is on the alternate list, as long as the notification is made through the CPRA turnout line at least 30 hours prior to the scheduled first performance (if slack is before the start of the rodeo it will have a separate 30 hour deadline).
- Notifications made after the 30-hour deadline will not be replaced in office and notifications on record with the CPRA office at the 30 hour deadline will be final. Replacements must be made prior to the first go-round of competition.
- Alternate list will be based on that event’s posted qualifications
- Any re-entries will fall below anyone entered at the original date of entry, regardless of qualifications.
- All alternate contestants will be required to pay entry fees. If they are not paid at the rodeo, invoices will be available for payment after the rodeo is processed in office. There will not be a late fee associated with replacement entry fees.
- Any contestant who turns out of said rodeo is ineligible to be a replacement for that rodeo. In the team roping, a team will only be replaced if both partners of the team notify a release or turnout following the same guidelines as applied in the other events. If only one member of the team notifies and his partner chooses to compete, his partner can find a replacement partner, as per the CPRA rulebook.
- If stock has already been drawn in the riding events, the judges will draw an animal for the alternate contestant, after the 3 hour turnout deadline for that performance and after walk-up replacements are complete (if applicable), from a pool consisting of the animal drawn by the contestant that he is replacing, any other turned out animals (which includes any notified turnouts or releases), and the first designated re-ride for that performance that is still available. If stock has not yet been drawn, the contestant will be drawn an animal by CRES during the scheduled stock draw time. Animals that are turned out (includes all notified turnouts and releases) will not be included in the re-ride draw until after the 3 hour turnout deadline and replacements for that performance have been made, to ensure that there are the same number of animals and contestants for that performance.
- For all replacements in the Timed Events (except Ladies Barrel Racing) will got to the top of the performance they are replacing in, regardless of open spot they are filling (Walk Up replacements will compete before 30 hour replacements)- Replacements will be first out for that performance.
- For Ladies Barrel Racing any replacements that are 30 hour replacements will go into the spot that they are replacing.
- If an alternate is scheduled to compete at another CPRA rodeo or event during a performance that has a position for which he is being considered as a replacement, he will not be eligible to be an alternate for that position. If a contestant does not accept an available position or is not eligible for a position due to a conflict during a performance, he will remain on the alternate list in the same order for any other positions that may become available. If a contestant refuses an alternate position without conflict they will go to the bottom of the replacement list.
- Any turnouts after 30 hours prior to the first performance will be treated as walk-up replacements if applicable.
Walk up Replacements
- This policy is in addition to the ‘30-hour replacement’ policy where CRES will replace notified turnouts and releases at Tour and Special events.
- After the 30 hour replacement time frame has passed, the secretary will receive the notified turnouts and releases for that performance along with the alternate list (where applicable) established by CRES for each event in which contestants were drawn out due to qualification or due to using the ‘or out’ parameter. All notified draw outs, turnouts and releases (including contestants who notified before the 3 hour turn out deadline) may be replaced by contestants on the alternate list (where applicable) or random draw of checked in contestants where no alternate list in place, based on card type (Full, Semi Pro, then Permit).
- In the rough stock events, any turnouts before stock draw will not be available for walk-up replacement as there will not be stock available for the position.
- Contestants who turn out or doctor’s release in a slack will not be replaced via walk up, with the exception of a two go-round contest where the 2nd go-round is guaranteed to compete in a performance (the second go-round position cannot be traded to the slack)
- Contestants who desire to be accepted as walk-up replacements must physically check in with the rodeo secretary no later than 2 hours prior to the performance.
- All alternate contestants will be required to pay entry fees. If they are not paid at the rodeo, invoices will be available for payment after the rodeo is processed in office. There will not be a late fee associated with replacement entry fees.
- In the team roping, a team will only be replaced if both partners of the team notify a release or turnout following the same guidelines as applied in the other events. If only one member of the team notifies and his partner chooses to compete, his partner can find a replacement partner, as per the CPRA rulebook (member in good standing and not conflicted at another rodeo.)
- Stock for the Riding Events will be drawn for all replacements (both those “30 Hour Replacement” and the “Walk Up Replacement” contestants) after the check in deadline by the judges, from a pool of animals consisting of the animals drawn by the contestants who notified turn outs, draw outs and releases through CRES and the first available designated re-ride for that performance.
- For all replacements in the Timed Events (except Ladies Barrel Racing) will got to the top of the performance they are replacing in, regardless of open spot they are filling (Walk Up replacements will compete before 30 hour replacements)- Replacements will be first out for that performance.
- For the Ladies Barrel Racing any walk up replacements will go to the bottom of the ground without an additional rake. Rake will stay in original order. Ex. if the 2nd and 3rd contestants turn out in a group of 10 where the rake would be after 5- contestant #1,4,and 5 will run followed by a rake, then 6-10 will run, followed by the 2 replacements; no additional rake after #10 contestant.
- If more contestants check in with the rodeo secretary than there are positions available, the contestants accepted will be determined by their order on the alternate list (where applicable and established by CRES). A contestant who did not enter the rodeo and who does not have a position on the alternate list (if applicable), can also check in with the rodeo secretary prior to the walk-up deadline by presenting his current active CPRA membership card (or receipt of membership) to the rodeo secretary and will be placed below all on the alternate list in replacement order. If more contestants who are not on the alternate list (if applicable) check in with the secretary then there are positions available, a random draw by the judges will determine which alternates will be accepted.
- After all of the turned-out positions have been replaced by contestants who did have a position on the alternate list, any remaining turned out positions may be filled by current active CPRA contestants who did not have a position on the alternate list and who did check in with the rodeo secretary by the walk-up deadline.
- If a contestant, who was not originally entered in the rodeo, is ineligible and competes at the rodeo, they will have any money owed to the CPRA retained by the CPRA from his/her money won at that rodeo and a twenty-five hundred dollar ($2,500) fine.
- Contestants who are placed in a position at another CPRA rodeo or event on the same day as the position being replaced will not be eligible to be an alternate for that position with the following exception. A contestant can compete at a rodeo as a replacement and at another rodeo with a conflict as long as he does not turn out of either rodeo. The contestant must notify the secretary that he has already competed at the conflicting rodeo or will actually be competing at the conflicting rodeo. For example, if a contestant competes during a performance or slack at one rodeo then arrives and physically checks in with the rodeo secretary prior to the “walk up” deadline at another rodeo with conflict, he will be allowed to compete at both rodeos. A contestant may be used as an alternate at one rodeo and then compete at another rodeo with a conflict in which he was already entered as long as he competes at both and does not turn out of the conflicting rodeo.
- A contestant will be responsible to know his conflicting rodeos and will be disqualified and fined five hundred dollars ($500) if he checks in with the secretary and competes as a replacement and then turns out of the rodeo with the conflict. Positions at other rodeos that are turned-out will be considered conflicts.
- Contestants cannot turn-out of a rodeo and then act as a walk-up replacement at the same rodeo on a different performance. If the replacement contestant turns out for any reason after stock is drawn or draw is made, he will receive a non-notified turn out fee.
*Any contestant that is a replacement will be responsible for entry fees. Any contestant that notifies a doctor release, visible release, vet release, draw out, or a notified turnout will still be responsible for any entry fees they would incur regardless if replaced or not. Doctor releases are not responsible for entry fees as an example.
